What was the problem?
A hair transplant clinic in Germany wanted to reach the right patients in its local market and get more people into the clinic for a consultation. The clinic serves Germans living nearby as well as communities of many backgrounds living in Germany. Leads were coming in, but the first reply took 3 hours on average and only 15% of leads turned into a consultation.
What did we do?
1. German-language Meta ads around the clinic
We wrote the ads in German and targeted a 40 km radius around the clinic, so the budget went to people who could actually come in.
2. A free in-clinic hair analysis
The offer in the ads was a free hair analysis at the clinic. For a local patient the first step is an appointment, so the offer led straight to a consultation.
3. Automatic replies and stage tracking with Sodo CRM
We connected the leads to Sodo CRM. Every new lead gets an automatic message, and as a lead moves from “new” to “consultation” and “treatment”, the team sees who is where. Sodo’s AI-assisted data analysis was used to review the lead data regularly.
4. Feedback to Meta: the Conversions API (CAPI)
We sent the CRM stages back to the ad account through Meta’s Conversions API. Meta now sees not only who filled in a form but who came in for a consultation, and learns to show the ads to people like them.
What was the result?
- First reply time: down from 3 hours to under 1 minute.
- Lead to consultation: up from 15% to 21.9%, about 46% more consultations from the same number of leads.
- Cost per lead: €6-9, depending on the campaign and the period.
What did we learn?
For a local patient, speed is everything: the moment someone sends a request is the moment they are closest to deciding, and three hours later they may have written to another clinic. An automatic first message closes that gap. Sending CRM stages back to Meta trains the ads to bring more consultations, not just more forms.
